User invitation email - best practices

Some websites and apps let users send invitation emails to other people. If yours does, it's worth making that email good, because it's often somebody's first impression of your app. First impressions matter, and a few simple rules go a long way when it comes to getting people to sign up. Here's what they are.

Best practices for user invitation email design

  1. Don’t assume the recipient was expecting the invitation. It may well arrive out of the blue, so make it clear who the invitation is from and which website or app they’ve been invited to. That helps keep the email out of the SPAM folder, and it makes people more likely to accept.

  2. Create an HTML message rather than plain text. HTML emails look more professional and are better at getting attention. Once you’ve built it, test it across different email clients and devices, so it looks good in every inbox and on every screen.

  3. Don’t use the no-reply option. The invited person should be able to reply, so the best thing you can do is set the reply-to address to the email of whoever sent the invitation.

  4. Keep the content clear and short. Give the recipient the information they need and nothing more.

What to include in a user invitation email?

  1. Who sent the invitation. The recipient probably doesn’t know your website or app, but they most likely do know the person who invited them, which is exactly why this matters. It’s the thing that catches their attention and makes them interested.

  2. A brief introduction to your website or app. A few words that describe it are enough. Instead of a long description, add a link to a page where the recipient can read more.

  3. A short explanation of how to accept the invitation. A call to action button works best here, because it’s easy to spot in the email. It should take the user to a page where they can create an account, or set a password if the account already exists.

  4. What to do if the email reached them by accident, plus an email address they can write to if they have questions or doubts.
